Limited Submissions

The Office of Strategic Research Initiatives (SRI) makes every effort to identify relevant limited submissions and disseminate these opportunities promptly through several mediums:

• Announcement Emails | Notifications sent to all faculty on the Limited Submissions listserv. To be added to the Limited Submissions listserv, please email LimitedSubmissions@utsa.edu.
• Limited Submissions InfoReady Site | Active funding opportunities will be posted on the UT San Antonio InfoReady Homepage. If a UT San Antonio researcher intends to submit to a limited submission program not on this list, they must contact LimitedSubmissions@utsa.edu to secure authorization to submit.
• Forwarded/Targeted Emails | Discipline-specific opportunities are often forwarded through the Associate Deans for Research, Senior Grant Development Managers, and/or College Research Administrators

Internal competition timelines are planned around the sponsor deadline — if a sponsor deadline changes from one year to the next, the schedule for internal competition may change as well. Because of this, any anticipated dates for future internal competitions should be considered as approximate until sponsor deadlines are confirmed.

Competition timelines are set to allow adequate time for internal submissions, review, and full proposal preparation within the Office of Sponsored Projects 15/5 rule, if applicable.

Short Notice Opportunities | In the event the Office for Research and Innovation is made aware of a limited submission opportunity with insufficient time to conduct a fair and transparent internal competition (30-45 days prior to sponsor deadline), an internal competition may not be announced and instead the opportunity will be awarded on a “first-come” basis.

Application components may vary depending on the sponsor requirements; however, typical application components may include, and are not limited to:

• PI/Co-PI information
• Brief project summary (3-page max.)
• List of additional key personnel/collaborators on this project
• Abbreviated CV or biographical sketch of PI & Co-PIs/key personnel

For opportunities with cost-share or match: signed Limited Submissions Resource Commitment Form

For resubmissions: copies of program reviews of prior submission and response to initial reviewer remarks.

For major equipment acquisition: description of where the instrument will be housed and a plan for sustainability of equipment use (2-page max.)

NOTE: A letter of intent/notice of intent/declaration of intent is no longer required. Faculty interested in a limited submission opportunity should proceed with applying to the listed Internal Competition and submitting all requested materials by the posted deadline to be considered.

Submissions will be reviewed and ranked by a panel of reviewers, appointed by the Office for Research and Innovation, with broad expertise and a track record in identifying successful submissions. Names of potential reviewers are often solicited from both the Associate Deans for Research and Assistant Vice President for Strategic Research Initiatives. Funding decisions will be based primarily on the panel’s recommendations; however, final decisions will rest with the Office for Research and Innovation. Review criteria are inclusive of the requirements of the respective funding opportunity, but will primarily be reviewed based on the following:

• Likelihood of success based on program objectives
• Relevance to UT San Antonio’s strategic initiatives
• Presentation of project (clear plan of action, summary of project)
• Qualifications of the investigators/collaborators
• Investigators’ history of successful planning and development of competitive proposals for submission to external sponsors

Automatic Selection | If the number of internal applications received is fewer than the institutional limit set by the funding agency (e.g., funding agency allows two proposals, but only one proposal was submitted to the internal competition), then all submitted proposals will be allowed to go forward after the internal competition deadline as long as they meet stated competition criteria.

Institutional Priority Selection | In the event an opportunity falls directly within the scope of one of UT San Antonio’s primary strategic research initiatives, the Office for Research and Innovation’s Senior Executive Vice President will select a PI based on institutional need.

Faculty are responsible for:

• Ensuring there are no additional internal deadlines for College/School/Institute-level review by checking with their Associate Dean for Research, Department Chair or Deans office.
• Notifying their respective College Research Administration (CRA) team of their intent to submit to the funding opportunity they have been selected for after competition completion.
