UTSA Research Core Facilities

The Core Facility Mission
Our Institutional Research Core Facilities (RCF or “Cores”) is a shared research facility responsible for providing access to services and shared resources such as instruments, technologies, testing/processing, and scientific services—delivered by experts to meet the needs of our research community and fulfill our research mission.

Institutional Approach
The goal of our core facilities is to make our state-of-the-art technology and expertise available to all members of our research community. UTSA holds the view that supporting our core facilities is a direct contribution to our strategic investments in research as a Presidential Initiative of Research Excellence to become NRUF and Carnegie R1 eligible.

iLab Operations Software
UTSA uses the iLab Operations Software (iLab) to manage instrumentation bookings, service requests, and billing. This software provides a unified interface for our research community to use scientific resources offered by our institutional Research Core Facilities. Through the iLab interface, PIs and their Researchers can request/manage equipment reservations and service requests, track work of existing projects, handle billing and invoicing, and report financials for usage within our core facilities.

If there are general questions about iLab, please contact iLab@utsa.edu

New User Access

Registration for UTSA Users
Step 1. Please navigate to the UTSA iLab Homepage (here)
Step 2. Select the Sign-Up/Login buttons [top-right] to register with your myUTSA ID (abc123) credentials.
Step 3. Fill out the iLab registration fields in the next registration window.

Non-Principal Investigators:
Sub-step1. Select your PI Group/Lab association and verify your contact information.
Sub-step 2. The PI and Lab Manager will receive a notification that you have requested a membership to the Group/Lab. Before you can use core facility resources, your PI/Lab Manager will need to:
1. Approve your membership
2. Assign/activate funds to your account (Speedtypes=Project ID/Cost Center)

Principal Investigators:
Sub-step1. Select your PI Group from the dropdown. If your account is not listed, select “PI-Not Listed (UTSA) Lab” and UTSA iLab Support Team will contact you to create your Group/Lab account.

Sub-step 2.Navigate to Left Menu bar > My Groups >Member Request & Funds tab
Sub-step 3.Click the checkboxes under the “Manage Speedtypes“ section to assign funds for each lab member and set Default Speedtype. PIs with a Project ID assigned in PeopleSoft will see these fund numbers (speedtypes) automatically populated to your Group Account. PIs using Cost Centerssuch as Start-Up, Cost-shares, or Department Funds should contact their BSC team to send a confirmation email to iLab@utsa.edu for fund approval in iLab.

*All fund information is updated daily and must have a positive budget balance. Please contact us below if the desired fund account is not available in our system.

For more assistance, please contact our UTSA iLab Support Team at iLab@utsa.edu

Registration for External Users

Step 1. Complete the External User Access Request Form (here)

Sub-Step 1. Complete the iLab Registration Wizard (here)
Sub-Step 2. Receive a welcome email from iLab (typically within one business day) with login credentials.
Sub-Step 3. Use First-Time login credentials to finish account creation. If you are a Principal Investigator/lead researcher, then you will be provisioned as the group account owner. This role will need to add/link/accept all other members to your group account. For assistance with the UTSA iLab System, please contact iLab@utsa.edu

Step 3. UTSA Staff will validate if your institution has a Research Core Facility (RCF) Service Agreement with UTSA. If it does not, UTSA will coordinate with your legal contact(s) for signatures. **This agreement must be signed by both institutions before any work can be performed.
Step 4. If an RCF Service Agreement is on file for your institution, your iLab user account will be granted access to UTSA’s iLab System so that you may begin requesting work at our RCFs.

For further information regarding this service agreement, please contact ORIS@utsa.edu
